Ottawa Plastic Surgery – Surgical Booking & Financial Policy

We’re committed to providing an exceptional and transparent surgical experience for every patient.
This policy outlines our financial, scheduling, and cancellation terms to ensure fairness and efficiency for all.
By booking surgery and submitting a deposit, you acknowledge and agree to the terms below.


1. Booking & Payment Responsibilities

  • All procedures must be paid in full a minimum of four (4) weeks before surgery.
  • All pre-operative requirements (medical forms, lab work, and clearances) must be completed by the deadlines provided.
  • Patients are responsible for keeping their contact and payment information up to date prior to surgery.
  • Surgery dates will not be confirmed until both the deposit and all required documentation are received.

2. Accepted Payment Methods

We accept the following forms of payment:

  • Visa, MasterCard, AMEX, Debit, Cash, Certified Cheque, or Bank Draft (made payable to Ottawa Plastic Surgery).
  • Medical financing options are available through Beautifi, Credit Medical, and Medicard. These are third-party providers, and patients must apply and communicate with them directly regarding approval, payment terms, and funding timelines.

3. Deposit Requirement

  • A $1,500 non-refundable deposit is required to schedule surgery and secure your date.
  • The deposit is applied toward your total surgical fee.
  • Your selected surgery date will remain tentative until the deposit has been received.
  • If the deposit is not received promptly, your preferred date may be released to another patient.

4. Final Payment

  • The remaining balance is due a minimum of four (4) weeks prior to your scheduled surgery date.
  • Once payment has been made in full, the surgery is confirmed and cannot be rescheduled.
  • If you are financing your surgery, approval and funding must be completed no later than four (4) weeks before surgery to avoid cancellation.

5. Rescheduling Policy

We understand that plans can change, and we’ll do our best to accommodate you when possible.

  • You may reschedule your surgery once at no additional cost, provided you give at least four (4) weeks’ notice before your original surgery date.
  • If you request to reschedule within four (4) weeks of your surgery date, or if you have already rescheduled once, a $1,500 rebooking fee will apply.
  • If you cancel your surgery at any time prior to your procedure, your deposit is non-refundable and will be forfeited. If additional payments have been made toward your surgery, the cancellation policy will apply to any funds received beyond the deposit amount.
  • Any changes to your surgical plan or procedures made within four (4) weeks of surgery may result in additional fees depending on operating room time and resources reserved.

6. Cancellation & Refund Policy

Refunds are determined by the amount of notice provided before your scheduled surgery date:

Important Notes:

  • All deposits are non-refundable under any circumstance once surgery is booked.
  • Once your surgery has been paid in full and confirmed, it cannot be rescheduled.
  • Multiple cancellations, late changes, or incomplete pre-op requirements may result in forfeiture of your booking and associated fees.

7. Delays, Non-Compliance, and Same-Day Cancellations

  • Failure to complete required pre-operative instructions, medical forms, or lab work may result in cancellation of surgery and forfeiture of fees.
  • Late arrival on the day of surgery may lead to cancellation or additional charges due to disruption of the operating room schedule.
  • OPS reserves the right to cancel or reschedule procedures in the event of patient non-compliance with pre-operative instructions.

8. Transportation & Pick-Up Policy

For patient safety and efficient surgical scheduling:

  • A responsible adult must be arranged to pick you up at your designated discharge time.
  • If your ride is late or unreachable, a $600 per hour fee will be billed to cover extended recovery staffing and facility use.
  • This fee is calculated based on time extended beyond the scheduled discharge.
    Please ensure your transportation arrangements are reliable and punctual.

9. Exceptions

OPS understands that unforeseen medical circumstances can occur.

  • Health-related cancellations supported by a physician’s note may be eligible for special consideration or rescheduling without penalty.
  • Decisions regarding exceptions will be made at the discretion of OPS management and the treating surgeon.

10. Additional Costs

  • If surgery exceeds the estimated operating or anesthesia time, or if an unexpected overnight stay is required, additional charges will apply.
  • These charges will be billed to the patient and must be settled prior to discharge or final post-operative clearance.

11. Agreement of Terms (Updated for Deposit-Based Consent)

By accepting your surgical estimate and submitting your deposit, you acknowledge that you have reviewed and agree to the terms outlined in Ottawa Plastic Surgery’s Surgical Booking & Financial Policy.

Payment of the surgical deposit serves as your confirmation that you understand the clinic’s booking, payment, and cancellation policies, and agree to proceed under these terms.
